Facilities Manager

Primary Functions:

Ensures the proper functioning of all Credit Union facilities to enable business to be conducted: 1) in a manner that is safe; 2) in compliance with all laws and regulations related to employee and member safety and accessibility; 3) within an environment that is attractive and comfortable for employees and members; 4) with continuity and reliability. Routinely inspects workstations, buildings, sidewalks, parking areas, landscaped areas, etc. to ensure proper working order, functionality and aesthetic appearance. Responsible for the maintenance of all plumbing, appliances, electricity, gas, water, septic systems and sewer. 

Essential Duties and Responsibilities:

  • Administers the compliance of all laws, regulations, and Credit Union policies concerning employee health and safety, employee accessibility, member safety, and member accessibility, as they relate to Credit Union facilities.
  • Develops and administers a preventive maintenance program for each facility.
  • Performs on-site inspections of footings, foundation, framing, electrical, plumbing, mechanical systems, air conditioning systems, fire prevention and smoke detection systems.
  • Responsible for the testing of all alarm and surveillance systems, and all fire prevention and smoke detention systems.
  • Performs routine maintenance which may include but is not limited to changing light bulbs, minor repairs, touch up painting, unclogging sinks and toilets, and maintaining exterior signs and lights.
  • Makes recommendations on non-routine maintenance or repairs that require specialized vendors or contractors to complete. Obtains written proposals from specialized vendors or contractors as well as verification of licenses, appropriate evidence of insurance or other documentation. Coordinates schedule of work to be performed and verifies completion of work as specified. 
  • Responsible for addressing safety concerns at all facilities. Shall act as Safety Officer for the Credit Union.
  • Responsible for the security of all facilities, ATMs, and Credit Union vehicles
  • Ensures proper security measures for all facilities, and collaborates with security systems vendors or security professionals, as necessary.
  • Maintains up to date records of facilities for all State, Federal, County, insurance, and other inspections. Remediates any findings resulting from inspections. 
  • Develops, and ensures the fulfillment of, agreed upon standards for work performed by contractors for facilities maintenance including but not limited to window washing, landscaping and irrigation, pruning of trees, concrete pressure washing, janitorial, mold remediation and clean-up, air conditioning maintenance, carpet cleaning, etc.
  • Arranges for the repair and maintenance of Credit Union vehicles, appliances, and other equipment. 
  • Collaborates with Sr. Management on long-term planning for the needs of existing facilities, and potential future facilities.
  • Communicates regularly with Branch Managers or other department staff to determine if there are outstanding facilities issues that need to be addressed.
  • Maintains the cleanliness and presentation of the premises and ensures comfortable working conditions.


Administrative Functions:

  •  Prepares reports on facilities maintenance, improvement and repair activities; health and safety incidents; other types of reports as required by Sr. Management. 
  • Promotes and advances a work environment in which employees can feel physically and emotionally safe
  • Works with various departments and Sr. Management to ensure organizational alignment on facilities priorities 
    and needs.
  • May assist with the filing of insurance claims for incidents of injury on Credit Union premises

Miscellaneous Functions:

  • Completes the required Bank Secrecy Act (BSA) training and complies with the BSA policy and procedures.
  • As a member of the staff, answers incoming phone calls, assists members as the need arises, and performs other duties as assigned.
  • Assists other co-workers when needed.
  • Promotes all Credit Union products and services.

  • Is able to occasionally reach or climb a ladder to reach upper shelving.
  • Is able to sit for extended periods of time.
  • Is able to communicate clearly in person or over the phone and/or in writing.
  • Is able to move around the office on surfaces primarily of carpet.
  • Is available for occasional business travel, including land and air travel.
  • Is able to establish effective working relationships with management, staff and other organizations.

  • Must possess excellent organizational, problem-solving, and decision-making skills.
  • Must be able to operate all applicable equipment, systems, and computer applications.
  • Must be able to perform all job duties with minimal supervision of day-to-day activities.
  •  May be required to use his/her/their personal car to perform credit union business.
  • May be required to work at different branch/location.
  • May be required to work beyond the normal business hours, including weekends.
  • May be required to attend seminars or classes to increase job skills.
  • Must be bondable and have a clear credit rating.

Education and/or Experience:

  • Bachelor’s degree in business or related field or equivalent experience 
  • At least five years of related experience in Facilities Management, with a minimum of two years of supervisory experience.
  • Knowledge of budgeting, procurement, service contracts, general knowledge in commercial building construction, grounds maintenance, and contract/leasing agreements.
  • May be required to obtain various job-related certifications. 
  • Knowledge of OSHA Standards, all appropriate life safety and fire and health codes, Americans with Disabilities Act and applicable state and local building codes. 
  • Proficient with the use of computers.

Working Conditions:

  •  Work is primarily inside an air-conditioned, well-lighted office setting, and high humidity.
  • Must be able to work alone and with others.
  • Moderate noise level.
  • Frequent public contact.
  • Potential exposure to the threat of violence at any time
